Mail migration from Cyrus (Sogo) to Exchange
Introduction
Currently, the University of Heidelberg uses two mail systems, Cyrus/Sogo and Exchange. Every student and employee automatically gets a Cyrus mail account together with the Uni-ID. However, this system is quite limited in capcacity with just 1000MB as maximal mailbox quota. Full employees (but not students) have the option to use the more modern Exchange system instead, with a quota of 10 GB. In the following, the necessary steps for migrating to Exchange are documented.
Step-by-Step guide
- If you are an employee at ARI or ITA and wish to switch to Exchange, please contact the admin team at admin(at)zah.uni-heidelberg.de. We will then request the creation of an Exchange acccount at URZ. Please tell us your Uni-ID when sending this request.
- When the URZ has created the Exchange account, we will inform you about it. You can then try to login to https://exchange.uni-heidelberg.de with the username
ad\<uniid>and the password for your Uni-ID. Note that for the Exchange web interface, thead\part is very important and leaving it out will not work. See Picture 1. If this works, proceed with step 3. Otherwise, please let us know. - Mails will still arrive at the old Cyrus/Sogo system. You have to configure your Sogo account to forward the mails to Exchange. This needs to be done by you, neither the ZAH IT staff nor the URZ can do this. Log into the Sogo web interface at https://sogo.uni-heidelberg.de with your Uni-ID, but without the ad\ part in the username and do the following:
- Go to the preferences (the gear wheel icon in the upper left corner next to your name and mail address.
- Select
Mail(bottom entry) in the list on the left. - Select the
Forwardtab in the right half of the screen. - Add
uniid@ad.uni-heidelberg.deas email address. Again, theadpart is very important! - Make sure that "Always forward" is activated and "Keep a copy" is deactivated.
- Save your changed with the green disk symbol (see Picture 2).
- Logout from Sogo with the Disconnect button in the top right corner.
- At this point, all new mail will arrive at Exchange. If you like, you can now configure your mail programs at your computer(s) and/or phone. - If have have used the old system for a while and migrate due to the quota limitation: It is possible to automatically copy alll mails from Cyrus to Exchange. Depending on the size of the mailbox, this can take up to 30 minutes. If you want to do this, please tell us a time during normal office hours where you won't use your mail clients. We will then inform the URZ and they will perform the copy operation.
